How to Create a Perfect Profile
on the PRIVATE GUIDE WORLD Platform
(complete guide)

This section explains in detail how to create a professional, complete, and moderation‑ready profile that attracts more tourists and helps you build a strong reputation on PRIVATE GUIDE WORLD.

Use it as your reference and checklist whenever you create or edit your profile.

A tour guide invents a profile description in front of a laptop.

By investing time in crafting an original bio, you enhance your profile. Your narrative is as unique as the experiences you offer, and it's the key to attracting the proper travelers who appreciate what makes you extraordinary.

1. General rules for approval and visibility

Your profile is visible in search results only after it has passed moderation.

To pass moderation quickly and stay visible:

✅ Fill in all public fields in your profile (name, countries and cities of activity, languages, description, tours, etc.).

✅ Use real personal details – no company names instead of your name, and no fake information.

✅ Follow the rules for photos, documents, and texts described below.

⛔️ Do not publish contact details (phone numbers, email addresses, websites, social media links, messengers) in the public part of your profile or in tour descriptions.

⚠️ Important: Any time you significantly change your profile or tours, your profile may go back into moderation. During this period, it can be temporarily hidden from search until it is approved again.

Moderation usually takes a few ⏳ hours, and in some cases up to 24 hours, depending on the queue.

The moderator at work

Moderation is part of the process of determining whether a tour guide's profile meets the platform's requirements.

2. First and last name

Your name is one of the first elements tourists see, and it must follow simple rules.

✅ Allowed:

✔︎ Only your real first and last name.

✔︎ Normal capitalization – first letter capitalized, the rest lowercase.

An example of using the extra words in tour guide’s name.

An example of using the extra words in a tour guide’s name.

⛔️ Not allowed:

❌ Company names instead of your personal name.

❌ Extra words like “Tours”, “Tour Guide”, “Travel Agency”, “Best Guide”, etc.

❌ Writing your name in ALL CAPS.

✔︎Examples–correct: ❌Examples–incorrect:
✔︎Maria Sanches Lopez John Smith TOUR GUIDE
✔︎Ahmed El-Sayed BEST TOURS IN ROME
✔︎Chiara Rossi CHIARA ROSSI

PRIVATE GUIDE WORLD connects tourists with individual local guides, so travelers must clearly see who will guide them.

3. Profile photo (avatar)

Your profile photo is your virtual handshake. Often, it is the main reason a tourist chooses one guide over another.

3.1. Basic requirements

Your profile photo must:

✔︎ Show you only – no other people and no pets.

✔︎ Clearly show your face, well-lit and sharp.

✔︎ High-resolution – at least 1000 × 1000 pixels, close to square, and not larger than 2 MB.

✔︎ Be correctly oriented (not sideways or upside down).

✔︎ Be in focus, not blurry or pixelated.

3.2. Framing and composition

✔︎ You should be the central focus of the image.

✔︎ Leave some space above and around your head so the photo displays well on mobile, web, and in social media posts.

❌ Avoid very distant full‑body photos where your face is tiny or unclear.

❌ Avoid awkward angles (half of your face cut off, extreme close‑ups, etc.).

3.3. Background and editing

✔︎ Use a simple, clean background – not too busy or distracting.

❌ Avoid heavy filters or unnatural color effects.

❌ Do not add text, frames, borders, icons, or other graphic elements.

❌ Do not include any visible contact data (phone, email, websites, social media) on the photo.

3.4. Style and content

✔︎ Your appearance should be professional and appropriate for guiding tourists.

❌ No nudity or suggestive content.

❌ No violent, aggressive, or offensive elements (weapons, hate symbols, etc.).

✔︎ Your expression should be friendly and welcoming.

Ideally, the photo can also reflect the type of experiences you offer (cultural, historical, food, nature, adventure, etc.), but this is optional.

3.5. If your avatar is not approved

❓ If your avatar does not meet these standards and is rejected:

⚠️ Your profile will not be visible to platform visitors.

⚠️ It remains hidden until you upload a new, correct avatar photo and it passes moderation.

🔔 You will receive a notification about the moderation result by email (please also check your SPAM folder) and in the App.

  2. Rotate with this button and scale with a mouse on the webpage and 2 fingers in the App (so that your face is centered and clearly visible).
  3. When you are satisfied:

5. Professional documents (licenses, certificates, diplomas)

Uploading documents is optional but highly recommended.

5.1. Why documents matter

✔︎ They increase trust and credibility.

✔︎ Tourists can immediately see that you have official qualifications or relevant education.

✔︎ They help you stand out among guides who do not show any proof of their expertise.

Tour guides’ official documents could be uploaded to a special section of their profiles.

Tour guides’ official documents could be uploaded to a special section of their profiles.

5.2. What you can upload

✅ Allowed documents include:

✔︎ Guiding licenses or permits

✔︎ Certificates from tourism, hospitality, or related training

✔︎ University diplomas and relevant degrees

⛔️ Not allowed:

❌ Business cards

❌ Leaflets or advertising flyers

❌ Images with visible contact details

❌ Any unrelated or low‑quality images

All documents added to this section are visible to visitors of your profile. The file format could be JPG, JPEG, PNG or PDF.

6. Your Bio (About Me)

Your Bio is your personal story and one of the strongest tools to differentiate yourself from other guides.

A tour guide creates description for the profile.

Profile creation requires a tour guide's attention.

6.1. Style and person

✔︎ Write in the first person (use “I”, “my”) to make your text more personal and authentic.

✔︎ Be polite, professional, and friendly.

✔︎ Example – good introduction:

I am a licensed tour guide in Lisbon with more than 10 years of experience. I love showing visitors both the famous sights and the hidden local places that only residents know.

6.2. Length

🔵 Minimum 200 characters

🔵 Maximum 2000 characters

This gives you space to explain who you are, what you offer, and why tourists should choose you, without becoming too long or boring.

❗️Remember: we may also use your Bio when we promote your profile on our social media channels.

6.3. What to include

✅ You can describe:

✔︎ Your guiding background and experience

✔︎ Your education and any special training

✔︎ Languages you speak

✔︎ Types of tours you organize (city walks, food tours, nature, adventure, etc.)

✔︎ What makes your approach unique (e.g., small groups, focus on hidden gems, storytelling style)

6.4. What is not allowed in the Bio

⛔️ To keep the platform safe and fair, your Bio and tour descriptions must not contain:

❌ Phone numbers

❌ Email addresses

❌ Website links

❌ Social media usernames or links

❌ Messenger IDs (WhatsApp, Telegram, etc.)

❌ Direct advertising slogans with prices, discounts, or booking outside the platform

You can share ↪︎ contact details privately with a tourist after they contact you through PRIVATE GUIDE WORLD.

⚠️ Also avoid:

❌ Writing in ALL CAPS

❌ Excessive punctuation (e.g. !!!!!!, ????,.....)

❌ Aggressive or offensive language

a description with many errors and full of plagiarism.

A profile description with many errors and full of plagiarism.

6.5. Original content – no copy‑paste

✔︎ Your Bio must be original, written by you.

⛔️ We strongly discourage copying text from other websites or profiles because:

🟣 Search engines like Google favor unique content. Copies of the same text across different sites rank poorly.

🟣 Tourists are looking for real local personalities, not generic marketing text.

👉 Tips for writing a unique Bio:

✔︎ Share short personal stories (why you became a guide, your favorite place, a special kind of visitor you like working with).

✔︎ Highlight your expertise (years of experience, special themes, languages).

❌ Avoid generic clichés like “best guide ever” or “unforgettable experience” without concrete details.

By investing time in an original Bio, you make your profile more attractive and increase the chances that the right travelers choose you.

7. Tours and tour descriptions

Well‑written tours help tourists understand what they will experience and encourage them to contact you.

Your tour descriptions should clearly state:

✔︎ Where the tour takes place (route, neighborhoods, main sights)

✔︎ What tourists will see or do (highlights)

✔︎ How long does it last, approximately

✔︎ Any special requirements (comfortable shoes, dress code, fitness level, etc.)

⚠️ Be honest and accurate – do not promise things that are not included.

⚠️ Use correct, easy‑to‑understand language.

⛔️ Not allowed on tours:

❌ Phone numbers

❌ Email addresses

❌ Website links

❌ Social media accounts

❌ Prices or instructions for booking outside the platform

❌ Contact details or logos with contacts on tour photos

Initial communication and exchange of contacts should occur through the PRIVATE GUIDE WORLD built-in messenger.

8. Profile completeness

A complete profile has a much higher chance of passing moderation quickly and appearing higher in search results.

An example of a nearly perfectly completed tour guide profile

Please make sure:

✔︎ Countries and cities of my activity are correctly selected.

✔︎ Working languages are listed.

✔︎ You have at least one well‑described tour with a photo.

✔︎ Your avatar meets the guidelines.

✔︎ Your Bio is informative and within the character limits.

✔︎ Professional documents are uploaded if available.

👉 Our recommendation for the best results:

👍 Create at least 3 tours with clear titles, prices, durations, engaging descriptions and up to 8-10 quality photos each.

If you are unable to upload photos, you can send them to our support team at support@pg.world, and we will be happy to upload them to your profile free of charge.

9. Editing and moderation cycles

Each time you significantly edit your profile or tours:

⚠️ Your profile may go back into moderation.

⚠️ During moderation, it can be temporarily hidden from search results.

⏳ moderation usually takes a few hours to 24 hours during busy periods.

You will receive a 🔔 email and an App 🔔 notification when moderation is complete, and your profile is either live again or rejected.

10. If your profile is not approved

If your profile or changes are not approved, you will receive a notification with specific reasons and recommendations on how to fix them.

👉 Before starting a new edition:

  1. ✔︎ Carefully read the reasons in the notification.
  2. ✔︎ Use this guide as a checklist to correct the issues (name, avatar, country, languages, Bio, tours, documents, contacts).
  3. ✔︎ Save your changes and wait for the next moderation.
  4. ✔︎ Check your email and the App again for the updated result (check the spam folder in case).

If you receive repeated rejections, it almost always means that one or more of the rules described here are still not being followed.

If anything is unclear, contact our support team – we will help you understand exactly what needs to be changed.
